This privacy policy describes how Promotional Spring, Inc. ("Promotional Spring," "we," "our," or "us") handles information in connection with the PS Connector, an internal software tool we built and operate for our own business use.
The PS Connector is an internal-use integration. It is not a public product, a marketplace app, or a service offered to outside customers. Only authorized Promotional Spring employees use it, and it operates against a single QuickBooks Online company file (ours) and a single Microsoft 365 tenant (ours). We are publishing this policy because Intuit requires every developer app, including internal ones, to have a public privacy policy on file.

The PS Connector reads and writes data inside two systems we already own and operate:
QuickBooks Online (Intuit). Accounting records belonging to Promotional Spring, including company information, customer records, invoices, bills, accounts receivable aging, journal entries, and related financial data.
Microsoft 365 (Microsoft Graph). Promotional Spring email and calendar data used by our internal automations.
The PS Connector does not access consumer financial data, payment card numbers, Social Security numbers, or banking credentials. It does not act on behalf of any third party. It does not pull data from anyone else's QuickBooks or Microsoft tenant.
We use the PS Connector to support normal internal operations: pulling reports, looking up jobs and customer records, automating routine emails and calendar tasks, and reducing manual work for our team. The data stays inside Promotional Spring.
Access is limited to authorized Promotional Spring employees. Authentication happens through a bearer token controlled by Promotional Spring. We do not give access to clients, vendors, or any outside party.
The PS Connector runs on Microsoft Azure in the East US 2 region as a single Container App. Data accessed through the connector is processed in that environment. We do not sell, rent, share, or transmit this data to any third party. We do not use it to train AI models for outside parties.
When the connector is in safety mode (used during testing and validation), outbound email is rerouted to driggs@promotionalspring.com instead of being sent to its original recipient. This is an internal control to prevent accidental external messages during development.
The PS Connector itself does not maintain a long-term database of QuickBooks or Microsoft 365 records. It reads what it needs at the time of a task and writes results back into the source system. Application logs (used for troubleshooting) are retained for a short period and then deleted on a rolling basis. The underlying records stay in QuickBooks Online and Microsoft 365, governed by Intuit's and Microsoft's terms and our own internal record-keeping policies.

We do not claim certifications we have not earned. Promotional Spring is not currently SOC 2, ISO 27001, HIPAA, or PCI certified. We rely on the certified infrastructure of Microsoft Azure, Intuit, and Microsoft for the underlying platforms.
The PS Connector is an internal business tool. It is not directed to children and does not knowingly collect information about children under 13.
If we make material changes to this policy, we will update the effective date above and post the revised version at this URL.
